Project budgets · 3 MIN READ

Give every dollar a job. Leave room for unknowns.

Build a working budget that shows assumptions, commitments and the decisions still ahead.

Define the whole project

A useful budget starts with the outcome and scope, then follows every cost needed to get there. The builder’s price may be the largest line, but it is rarely the only one. Create headings for design and specialist advice, investigations, approvals, construction, owner-supplied items, temporary arrangements and completion costs.

Check where items are already included so they are not counted twice. Equally, do not leave a blank line looking like a zero. Label it “not yet priced” and give someone responsibility for finding the information. Record whether each figure includes tax and what date or quote supports it.

Before transferring builder prices into your budget, compare builder quotes against the same scope so inclusions, exclusions and allowances remain visible.

Separate evidence from assumptions

Use a status column for each amount: early estimate, written quote, agreed commitment or actual payment. These describe different levels of certainty. A shopping-list estimate for fixtures is not the same as a supplier quote covering delivery, accessories and installation.

For every allowance, write down what it is intended to cover and what would cause it to change. If a design choice is undecided, note the selection date. Review the budget when better information arrives instead of preserving an early total simply because it is familiar.

Set contingency around your risks

Contingency is a provision for uncertainty, not spare money waiting to be spent on upgrades. Identify the project’s particular unknowns: concealed conditions, incomplete documentation, difficult access or selections still being resolved. Ask the relevant project professionals what further investigation could reduce those uncertainties.

There is no single contingency percentage prescribed by this guide. Set an amount based on your scope, evidence and tolerance for additional spending, with suitable professional input. Keep discretionary upgrades in a separate list. If contingency is used, record why and reconsider whether the remaining provision still matches the remaining risks.

Track timing as well as totals

A project can fit an overall budget and still create a difficult month. Place expected payments on a simple timeline, based on the actual proposed agreements rather than an invented standard schedule. Include costs that overlap, such as temporary accommodation and household expenses. Mark dates that remain uncertain.

Keep committed costs separate from money already paid. Add a forecast of what is still required to finish. When someone proposes a change, ask for both its cost and timing effect before updating the forecast. A lower balance in the bank does not, by itself, describe how much of the project remains.

Make the next review easy

At each review, focus on what changed: newly priced work, revised assumptions, approved changes and upcoming decisions. Keep the previous version so the movement can be explained. Consumer Affairs Victoria provides guidance on understanding quote inclusions and exclusions: Consumer Affairs Victoria — getting quotes.

Home Orbit can help organise project costs and records. Questions about borrowing capacity or loan suitability belong with a licensed mortgage broker or lender. Keeping those responsibilities clear helps you distinguish a project forecast from a decision about how to fund it.

Your next-step checklist

  • Every figure has a source and status
  • Contingency is separate from optional upgrades
  • Forecast remaining costs as well as money paid
